Suggested Portal Flow

This is the monthly operating flow with two-level approval.

1. Admin opens month

Admin creates Month Key, opens Noodles/Snacks, and sets deadline.

2. Cluster Head enters scheme

Only assigned cluster districts, own tracker, and Avg Sales Qty (3M) are visible to support the request.

3. Supervisor verifies

Supervisor checks scheme vs sales history, edits if needed, then Verifies All Visible.

4. Accounts approves

Only Supervisor-verified rows reach Accounts. Accounts can edit further, then Approves All Visible.

5. Completed

Cluster Head sees Completed status in their own Approved Status pages. Admin exports the full report.

New Month Setup — Admin/Supervisor Guide

Recommended process before Cluster Heads start entering the next month scheme.

ℹ️ Best practice: start a new month from Admin only. First lock the previous month, refresh the price/SKU master, then open Noodles and Snacks for Cluster Head entry.

1. Close previous month

Lock final report: prevent further edit in old month.
Export final Excel: keep approved trade scheme archive.
Freeze audit log: preserve who changed what.

2. Create new month key

Example: 2083-01-Baishakh.
Open divisions: Noodles and Snacks separately.
Set deadline: cluster submission last date.

3. Refresh master data

Upload price master: Basic Price, Excise, Primary Discount.
Update SKU list: add new SKU, deactivate old SKU.
Check district mapping: 8 clusters and district/territory ownership.

4. Prepare entry rows

Create blank rows: Month × Division × Cluster × District × SKU.
Carry reference only: previous month final scheme appears as Last Month.
Keep Proposed Scheme editable: Cluster Head decides current month proposal.

Step	Admin Action	Portal Result	Recommended Rule
1	Click Lock Current Month	Old month becomes read-only for Cluster Head and Admin users.	Unlock only with Supervisor approval.
2	Upload latest Price/SKU Master	Dealer Price and WS Price are recalculated from latest price.	Do this before opening entry.
3	Create New Month	Blank entry rows are generated for all active district-SKU combinations.	One unique row per Month + Division + Cluster + District + SKU.
4	Copy previous final scheme as reference	Last Month column appears in Cluster Head input screen.	Do not force it as current month proposal unless needed.
5	Notify Cluster Heads	All 8 Cluster Heads receive the new month entry instruction.	Track Noodles and Snacks separately.
